Privacy Policy

This Privacy Policy explains how Trihill LLC (“Trihill,” “we,” “us,” or “our”), the company that provides Avelden, collects, uses, shares, and protects personal information when you visit our websites, communicate with us, or use our community-management services (collectively, the “Service”).

1. Our role

For account, billing, website, and business-contact information, Trihill generally determines why and how the information is used. For personal information submitted by a community organization through the Service, that organization generally controls the information and Trihill processes it through Avelden on the organization’s behalf. Members should contact their community administrator first about requests concerning community records.

2. Information we collect

Information you provide

  • account details such as your name, email address, organization, role, and credentials;
  • community records such as unit, member, visitor, issue, communication, and file information;
  • billing and transaction details, with payment-card information handled by our payment providers;
  • messages, support requests, survey responses, and other communications you send us.

Information collected automatically

When you use the Service, we may collect device and browser information, IP address, approximate location derived from IP, pages and features used, dates and times, referring pages, diagnostic information, and security logs. We may use cookies and similar technologies needed for authentication, preferences, security, analytics, and service performance.

3. How we use information

We use personal information to:

  • provide, operate, maintain, and improve the Service;
  • authenticate users and administer accounts, subscriptions, and payments;
  • deliver community features and communications requested by customers;
  • respond to questions and provide customer support;
  • monitor reliability, prevent abuse, investigate incidents, and protect users;
  • comply with law and enforce our agreements; and
  • send product or marketing communications where permitted, with an option to unsubscribe.

4. How we share information

We may share information with:

  • the community organization that provides or manages your access and its authorized administrators;
  • service providers that support hosting, storage, authentication, email, analytics, customer support, security, and payments;
  • professional advisers and authorities when reasonably necessary to comply with law or protect rights and safety;
  • a successor in connection with a merger, financing, acquisition, reorganization, or sale of assets; and
  • other parties when you direct us or provide consent.

We do not sell personal information for money. We do not share Customer Data for third parties’ independent advertising purposes.

5. Data retention

We retain information for as long as reasonably necessary to provide the Service, maintain legitimate business and security records, resolve disputes, and meet legal obligations. Retention depends on the type of information, the customer’s settings and instructions, contractual commitments, and applicable law. Information may remain temporarily in encrypted backups after deletion from active systems.

6. Security

We use administrative, technical, and organizational safeguards designed to protect personal information. No method of storage or transmission is completely secure, so we cannot guarantee absolute security. You can help by using a strong, unique password and promptly reporting suspected unauthorized access.

7. International processing

Trihill and its service providers may process information in countries other than the one where you live. Where required, we use contractual and other safeguards intended to protect information transferred across borders.

8. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information, or to object to or restrict certain processing. You may also withdraw consent where processing is based on consent and complain to a privacy regulator.

To exercise rights concerning information held by your community organization, contact its administrator. For information controlled by Avelden, email hello@avelden.com. We may need to verify your identity before completing a request.

9. Children

The Service is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 without appropriate authorization. Community organizations are responsible for ensuring that any information they submit about minors is handled lawfully.

10. Changes to this Policy

We may update this Privacy Policy as our Service or privacy practices change. We will post the revised version with a new effective date and provide additional notice when required by law.
