Getting started
Welcome to Avelden. This guide gives community administrators a safe order for setting up a useful workspace before inviting everyone.
Before you begin
Section titled “Before you begin”Have the following details ready:
- Your community name and contact information
- A list of administrators, managers, billing staff, and their responsibilities
- Your unit or property list, including unit numbers and addresses
- The names and email addresses of the first members to invite
- The documents, discussion spaces, and request categories members will need
- Your assessment rules and payment process, if you will use resident billing
Set up your community
Section titled “Set up your community”- Create your account and confirm your email address.
- Open Community & memberships from your account area and create the community.
- Use the community menu to open Settings, then review the general details.
- Invite a small setup team and assign the narrowest role each person needs.
- Add units and connect members to the properties they occupy or manage.
- Create the first discussion forums, file collections, and operational conventions.
- If you collect assessments, configure resident billing before issuing invoices.
Use a staged rollout
Section titled “Use a staged rollout”Invite administrators, managers, and billing staff first. Ask them to verify:
- They can see only the tools their role requires
- Unit information and ownership records are correct
- Discussion forums and file collections have clear names
- Ticket priorities and assignment practices are understood
- Billing groups, fee rules, and cycle dates have been reviewed before an assessment run
Then invite a small resident group to test the member experience before inviting everyone.
Next steps
Section titled “Next steps”Once the initial setup is ready:
- Publish a welcome discussion topic
- Upload frequently requested documents to the file library
- Explain how residents should submit issue tickets
- Point residents to My billing for their units, invoices, and account activity
- Tell members who to contact when their access or unit assignment is incorrect
